What the cleanup checklist can look like.

This is a safe sample column layout for a lightweight vendor-file cleanup pilot. It shows the admin structure — not a request for W-9s, COIs, payment details, credentials, IDs, or confidential vendor files.

Good first-pass inputs

  • A public vendor page or a non-sensitive export the team is allowed to share.
  • A short description of the mess: duplicates, stale reminders, missing fields, unclear owners.
  • 3–10 sample rows with private fields removed, if public context is not enough.

Do not send

  • W-9s, COIs, IDs, bank/payment details, contracts, certificates, tax forms, or private vendor documents.
  • Portal logins, credentials, phone verification, tenant/customer data, or confidential internal notes.
  • Requests for legal, tax, insurance, compliance, procurement, or payment advice.
